How to Send Multiple Documents in a Single Template with BeeSign

Many real-world signing scenarios involve more than one document. Onboarding a new employee? You might need an offer letter, an NDA, and a benefits form — all signed by the same people. With BeeSign Templates, you don't have to send each document separately. You can bundle multiple PDFs into a single template, define your roles once, and have every recipient sign every document in a single, coordinated flow. Step 1: Click "New Template" from the Dashboard

Head to the Templates section of your BeeSign dashboard and click "New Template" to start a fresh multi-document template. This is the same starting point as a single-document template — the magic is in how you add documents in the next steps.

Think of the template you're about to build as a package of documents that always travel together — for example, a complete onboarding bundle or a full client engagement kit.

Step 2: Upload a PDF or Choose an Existing Form

For your first document, you can either upload a PDF from your computer or pick an existing PDF from your BeeSign Forms library. Using a Form is a great shortcut if the document is one you've already saved for reuse — no need to upload the same file twice.

Once the first document is loaded, you'll move into the template editor — but remember, this is just the first of potentially many documents in this template.

Step 3: Add Roles

Define the roles that will sign every document in this template — for example "Employee", "HR Manager", or "Witness". Roles are shared across all documents in the template, which is exactly what makes multi-document templates so powerful. You add a role once, and it's available on every PDF in the bundle.

Step 4: Add Signature and Form Fields

Now place the form fields each role needs to fill in. Select a role from the sidebar and drag a signature box, date field, or text field onto the document exactly where it should go. Repeat for every role and every required field on this document.

Step 5: Click "Add Document" to Bundle More PDFs

Here's the key step that makes a multi-document template. Click "Add Document" to attach another PDF (or another Form) to the same template. The roles you already defined carry over automatically — you just need to place the relevant fields on the new document.

Step 6: Save the Template

Once every document has its fields placed, click "Save Template". BeeSign stores the entire bundle — every PDF, every role, every field position — under a single template name. From now on, that whole package is just one click away.
