Streamline your workflow with BeeSign Forms
Stop re-uploading the same PDF every time you send it for signature. Learn how BeeSign Forms let you upload a document once, organize it by category, and reopen it in the editor with a single click.

If you keep sending the same PDF for signature — a service agreement, an NDA, an onboarding packet — you don't need to upload it from your computer every single time. BeeSign's Forms feature lets you upload a document once, tag it with a category, and reopen it in the document editor with a single click. In this guide, we'll walk through the entire Forms workflow end to end.

Step 1: Open the Forms Tab on Your Dashboard
After signing in, head to your BeeSign Dashboard and switch to the Forms tab. This is where every reusable form you've uploaded lives — grouped by category so you can filter to exactly what you need without scrolling.

Unlike one-off documents, Forms are meant to stick around. Upload a PDF once and it stays in your library, ready to be reused as many times as you like.
Step 2: Upload a New Form
Click "New Form" to upload a PDF. Drag and drop the file or browse to select it, then give the form a clear name and pick a category (for example "Contracts", "HR", or "Onboarding"). The category is what powers filtering on the dashboard.

Pick categories that match how your team thinks about documents. The more consistent your categorization, the faster you'll find the right form later.
Step 3: Browse and Filter Your Forms
Once saved, your form appears in the Forms list alongside its category tag. Use the category filter at the top of the dashboard to narrow the list — perfect when your library has grown to dozens of forms across different teams or document types.

Forms are searchable by name as well, so even with a large library you can land on the exact document you need in seconds.
Step 4: Click a Form to Open the Document Editor
Here's where Forms save the most time. Click any form in the list and BeeSign opens the document editor with that PDF already loaded — no upload step, no waiting for the file to process. Add your recipients, drag signature, date, and text fields exactly where they need to go, just like you would with a regular document.

Because the form is already in BeeSign's storage, you skip the slowest part of the standard flow. For a team that sends the same document every day, that's hours back per week.
Step 5: Send for Signature
Once recipients and fields are in place, click "Send". BeeSign dispatches the document to every signer with a secure link, captures their consent and audit trail, and tracks progress from your dashboard — exactly like any other BeeSign document. The form itself stays in your library, untouched and ready for the next send.

That's the magic of Forms — the source PDF lives in your library forever, but every send is a fresh, independent document with its own recipients, fields, and audit trail.
Forms vs. Templates: Which Should You Use?
Both Forms and Templates help you avoid re-uploading PDFs, but they solve slightly different problems:
- ✓Forms — Store a PDF you reuse often and reopen it in the editor with one click. Recipients and fields are placed fresh each time, so Forms shine when the layout changes (different signers, different fields, different order).
- ✓Templates — Store a PDF plus predefined roles and field positions. Use Templates when the field layout is identical every time and only the recipients change.
